Working as a Bid Coordinator at Hudson, you will be responsible for coordinating and managing the bid process, ensuring timely and high-quality submissions. This role involves collaborating with various departments such as writing and quality review teams as well as clients to gather necessary information and maintaining an organised bid library. The Bid Coordinator plays a crucial role in helping the company secure new business opportunities by ensuring effective client communications and providing the customer with an amazing experience when working with our firm.

Key Responsibilities

  • Coordinate the end-to-end bid process, from initial handover from the sales team to final submission.
  • Ensure all bids are compliant with client requirements and are submitted on time.
  • Develop and maintain a bid library for each client of standard responses and supporting documents.
  • Manage multiple bids for multiple clients simultaneously, prioritising tasks to meet deadlines.
  • Provide clients with post-bid support.

Document and Quality Assurance

  • Draft, format, and proofread bid documents to ensure accuracy, consistency, and professionalism.
  • Ensure all bid documents are clear, concise, and compliant.
  • Conduct thorough reviews and quality checks of all bid submissions.

Admin and Reporting

  • Maintain an organised system for tracking bids, including deadlines, submissions, and outcomes.
  • Prepare regular reports on bid activities and outcomes for senior management.
  • Support the continuous improvement of the bid process by capturing lessons learned and implementing best practices.

Education / Professional Experience

  • Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
  • Minimum 2 years’ work experience in a professional setting.
  • Confident
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • Strong proofreading and editing abilities with attention to detail.
  • Exceptional organizational and time-management skills.
  • Ability to manage multiple projects simultaneously and meet tight deadlines.
  • Strong collaborative and team-working skills.

Job Particulars:

  • £27,000.00 per year starting salary.
  • For those who have minimum 4 years on site business/office experience we will pay up to £35,000.

Job description

We are looking for an experienced Senior Quality Bid Manager who demonstrates experience of handling a range of customers, different size bids and across multiple sectors.

The successful candidate will be able to write and review good, solid content, which is concise and compelling, even when under immense pressure to meet a deadline. We would expect you to be able to write or review a bid which pulls together factual information from a variety of sources in a format which is both interesting and comprehensive.

It is important that you understand that this is an exceptionally busy role and the following duties/expectations will apply:

  • you will be an experienced bid manager, able to motivate team members and inspire others to achieve.
  • daily you will need to obtain a high level of work from your colleagues by giving thorough feedback, ensuring all deadlines are met efficiently and that the bid is of the highest quality possible.
  • a proportion of your time will also be used for writing bids for multiple industries, multiple clients with multiple requirements and you must demonstrate effective organisation, efficiency and capability in your day-to-day work.
  • you will be responsible for training new bid writers and ensuring they meet quality standards set by the senior management team.
  • you will carry out quarterly KPI meetings with your team to constantly assess performance and undergo coaching.
  • you will liaise with the wider bid team to ensure you keep on top of deadlines and client communications/workloads.
  • lead/facilitate daily huddles with your co-writing team to ensure workloads are prioritised and allocated effectively and efficiently.

We are looking for a good all-rounder for this role, someone who is prepared to roll their sleeves up and get involved in multiple different projects. No two days will be the same so this role requires someone who is highly focused on career development and someone who isn’t afraid of hard work, multiple workloads and deadlines. Duties will include:

  • Sourcing tendering opportunities for clients, researching the documents and providing a synopsis of the opportunity.
  • Cold calling to generate new opportunities and clients for our company (2 hours per day)
  • Following up incoming leads, providing quotations and closing deals.
  • Using our internal CRM system to log communications
  • Working across different divisions to upsell our other services to your clients.
  • Offering product demonstrations of our sector specific bidding portals – Hudson Discover.
  • Work to a sales target of £30,000 per month.
  • Sell the services from our various different division, bid writing, design, business planning and product technology.
  • Reading and digesting large bidding documents.

Working in the world of tendering and procurement is fast paced, so you must be able to keep up with the speed in which we work. However, full and robust training will be given.

Due to the diverse nature of this role, you will play a key part in bid writing for multiple clients in multiple businesses. Full training will be given during your probationary period, but you will also be expected to take ownership of additional learning and development.

The ideal person for this role will be:

  • highly motivated, customer focused and have a ‘can do’ attitude.
  • Kind and considerate and willing to learn from peers.
  • Not afraid of deadlines, as the role will need you to meet daily deadlines which cannot be changed.
  • An excellent verbal and written communicator. It’s critically important you can ‘speak the language’ when communicating with clients and internal team members, excellent communication skills are a must, both verbal and written.
